Lead critical site operations across XCI
Are you highly structured and great at coordinating many moving parts at once? Do you take initiative, follow through, and step in yourself when needed? If you enjoy being the operational anchor point that ensures everything works-every day-you could be the next great addition to our team.
As Site Operation Manager, you will take ownership of establishing, running, and closing XCI’s offices and operational sites, both in Denmark and internationally. You’ll work closely with teams across the organization, both People & Culture, IT, Security as well as external suppliers, landlords, and facility partners. Your mission: to ensure every XCI location is functional, welcoming, and aligned with our standards.
Areas of responsibility:
Lead and coordinate the setup, daily operations, and closure of offices and operational sites -nationally and internationally
Maintain a consistent, scalable, and functional office concept across all locations
Act as the main point of contact for facility service providers, including cleaning, maintenance, and waste management
Oversee canteen/catering setup and ensure smooth daily operation in collaboration with vendors
Coordinate with landlords and building management regarding leases, services, access, and maintenance issues
Manage layout, furniture, infrastructure, and the general office environment (in collaboration with relevant stakeholders)
Handle purchasing of office supplies, furniture, equipment, and consumables
Manage relationships and agreements with external vendors, technicians, and service partners
Keep documentation, service agreements, and facility-related procedures updated and accessible
Own the facility operations budget, including forecasting, cost monitoring, and identifying optimization opportunities
About you:
You’re not just a planner, you’re a do’er. You bring structure, coordination, and technical understanding into everything you do, and you take pride in ensuring things simply work. You communicate clearly, collaborate well with both internal and external partners, and thrive when creating environments that support others in doing their best work.
You have experience with:
Managing office and facility operations—preferably across multiple locations and in an international context
Understanding the practical and technical aspects of buildings and workplace infrastructure
Strong project coordination, from planning to execution and follow-up
Working with external suppliers, landlords, and facility service partners
Creating a positive, solution-oriented atmosphere while keeping progress and quality on track
Communicating fluently in both Danish and English
Flexibility to travel approximately 30 days per year
