Marketing Event Coordinator

We are now looking for a Marketing Event Coordinator to join our Marketing team and take ownership of our exhibitions, events, and brand presence.
Event execution is your passion
As our new Marketing Event Coordinator, you will be responsible for bringing XCI’s brand to life across exhibitions, customer forums, and student fairs. The goal is divided in two -Market our products and attract new talent.
You’ll coordinate every step - from planning and logistics to booth setup and on-site execution - ensuring our presence always reflects the high quality of our technology.
You will also own our exhibition gear and merchandise, keeping everything organized, stocked, and ready for action.
This role is ideal for someone who is structured, detail-oriented, and thrives in a hands-on, fast-paced environment with multiple events running simultaneously.
Areas of responsibility:
- Plan, coordinate, and execute 20–25 exhibitions per year in collaboration with Marketing, Sales, and Presales teams.
- Manage all practical details - booking venues, organizing shipments, registering attendees, and arranging travel logistics.
- Participate in major exhibitions to ensure flawless execution and strong brand presence.
- Plan and manage our annual Customer Forum with up to 150 participants.
- Book or recommend flights and hotels for XCI staff attending exhibitions and events.
- Ensure that internal speakers are scheduled and prepared for conference sessions.
- Maintain and manage exhibition gear and booth setups for smaller events.
- Oversee merchandise and giveaways - maintain stock levels, source new items, and coordinate design and orders.
About you:
- Highly organized, detail-oriented, and able to manage multiple events simultaneously.
- Strong communication and collaboration skills - able to coordinate across teams and external vendors.
- Proven experience in event coordination, marketing, or logistics is a plus.
- Comfortable being hands-on: from planning, transporting to building a booth from bottom up.
- Creative mindset with a sense of brand and presentation.
- Willing to travel up to 20-25 days per year (mostly in Europe).
- Experience with B2B or technology-oriented exhibitions is a plus
- Fluent in written and spoken English.
